Sourcing Food Processing Equipment from China: Standards, Materials, and Documentation

Buying food processing equipment from China is fundamentally different from buying general machinery, because every surface that touches product is a food safety decision. This guide covers the material and standards questions to settle before you request quotations, the certifications that matter in your market rather than the supplier's, and the documentation package you should require before final payment.

Start with the Product, Not the Machine

The correct specification for a filler, mixer, conveyor, or pasteurizer depends on what will run through it: its acidity, salt content, temperature, viscosity, and cleaning regime. Suppliers quote against the specification you give them, so an under-specified inquiry produces a machine that is cheap for a reason. Before you contact factories listed under food manufacturing equipment or beverage manufacturing equipment, write down the product characteristics, the cleaning chemicals you use, your line's throughput target, and the regulatory market where the equipment will operate. Those four facts drive almost every material and design decision that follows.

Material Selection: 304 versus 316L Stainless Steel

Austenitic stainless steel dominates food equipment for good reasons: it is corrosion resistant, non-reactive with most foods, and cleanable to a hygienic standard. The practical choice is usually between grade 304 and grade 316L, and the deciding factor is chloride and acid exposure.

Two procurement traps are worth naming. First, "stainless steel" in a quotation without a grade number is not a specification; some factories will supply 201-series steel, which contains less nickel, costs less, and corrodes faster in food service. Require the grade in writing, on the drawing, per component. Second, product-contact and non-contact parts can legitimately differ: frames and guards in 304 with product paths in 316L is a normal cost optimization, but the quotation must say which parts are which.

The GB 4806 Framework: What Your Supplier Must Comply With

China regulates food contact materials through the GB 4806 series of national food safety standards. GB 4806.1 sets the general safety requirements for food contact materials and articles, and the series includes standards for specific material classes, including metal materials and coatings (GB 4806.9), plastics (GB 4806.6 and GB 4806.7), and rubber (GB 4806.11), alongside GB 9685, which governs the additives permitted in food contact materials. A competent Chinese equipment manufacturer operates inside this framework already, because it applies to equipment sold domestically.

For you as a buyer, GB 4806 compliance is a floor, not a finish line. It tells you the factory understands food contact obligations in general and can produce migration test reports from Chinese labs. It does not, by itself, satisfy your own market's regulator. Use it as a screening question: a supplier who cannot discuss GB 4806 requirements for the polymers and elastomers in their own machine, such as gaskets, seals, and hopper liners, is not a food equipment specialist, whatever their website says.

Market Access Is the Buyer's Job

A recurring and expensive misunderstanding: buyers assume the factory will deliver equipment that is automatically legal to operate in their country. Compliance obligations sit with whoever places equipment into service in the destination market, and you need to specify the requirements in the purchase contract, not discover them at commissioning.

Ask early whether the supplier has exported to your market before. Factories with genuine EU or North American export history can usually produce redacted declarations, past test reports, and photographs of documentation packages within a day. Evasive answers here predict problems later.

Hygienic Design Details That Separate Good Factories from Cheap Ones

Two machines can share a specification sheet and differ enormously in cleanability. When you compare quotations or audit a factory, look at these design elements.

The Acceptance Documentation Package

Define the documentation deliverables in the contract and tie them to the payment schedule. A reasonable package for food processing equipment includes:

  1. Mill test certificates (MTCs) for product-contact stainless steel, showing the heat number and chemical composition, traceable to the material actually used. EN 10204 type 3.1 certificates are the normal request.
  2. Surface finish records with measured Ra values for specified product-contact surfaces.
  3. Weld records, including weld maps for pressure-bearing or hygienic-critical welds and internal inspection photographs for tube work.
  4. Food contact compliance documents for every non-metallic product-contact component: gaskets, seals, belts, hoses, and liners, referencing the regulations of your market.
  5. Factory acceptance test (FAT) protocol and report, run with your product or an agreed simulant where practical, covering throughput, temperature performance, and a wet run of the CIP cycle.
  6. Manuals, electrical drawings, and a spare parts list with part numbers for wear items, ideally with commercial equivalents identified for seals and sensors so you are not captive to the factory for consumables.

Hold a meaningful portion of the final payment against delivery of this package and a passed FAT. Documentation chased after full payment arrives slowly, if at all.
